The Role

We’re looking for an experienced Office Manager to join our growing team. This role means you will be right in the thick of the action directly impacting the efficiency, performance and culture of the agency. The perfect candidate will be enthusiastic, positive with a ‘get sh*t done’ attitude.

Working closely with the Operations Partner, you’ll have exposure to all aspects of business operations including front of house, HR, finance, team socials and special projects.

Responsibilities

Office Management

  • Ownership and management of the front of house client and visitor experience
  • Programming and upkeep of the meeting rooms, booking system, functionality and refreshments
  • Management of deliveries, incoming post, taxi and courier booking
  • Maintaining a high level of presentation of the office
  • Building and maintaining strong relationships with the landlord and suppliers
  • Organising general maintenance of the office
  • Managing stock levels and budgets for all office supplies and staff social events
  • Ownership of and implementation of all health and safety and fire regulations/policies

Finance

  • Supporting the Financial Controller in day to day finance admin including reconciliations, supplier invoice and staff expense processing
  • Supporting the team in recording and retrieving financial details of the company
  • Management of all client finance email comms
  • Ownership of monthly client billing

HR & Culture

  • Management of all day to day HR admin
  • Ownership and facilitation of the new starter on-boarding and appraisal program
  • Recruitment support and facilitation to management team
  • Embodying the cultural ethos of the company and passionately promoting it
  • Research and coordination of all staff social events

Skills & Experience

  • 4+ years prior experience of working within a similar role in a digital creative agency
  • A positive, friendly, and proactive approach to daily issues and problem solving
  • An eye for detail and an ability to maintain accuracy of work under pressure
  • Excellent time management skills; able to work to multiple deadlines and prioritise workload
  • Experience of implementing process and structure
  • Good knowledge of internal agency finance processes and budgeting
  • Strong IT skills with a working knowledge of Google Docs and iWork, familiarity with Xero accounting software would be a plus
  • First aider and Fire Marshal training would be a plus
